Business Support Manager – UK Visa Sponsorship
About the position
We are searching for a highly organised, proactive and commercially driven Business Support Manager to work in close partnership with the Director across a growing portfolio of four firms.
This is not some old administrative function. You’ll be a crucial member of the senior management team, working hand-in-hand with the Director to oversee the day-to-day running of several businesses, keeping operations managed, improving systems and ensuring important tasks, meetings, funds and deadlines are never missed.
The successful candidate will be someone who likes responsibility, can work independently, has a good eye for detail and is confident in dealing with confidential business information.
You will be a trusted right hand to the Director, helping to build structure throughout the businesses and freeing the Director to focus on development, strategy and new prospects.
Key Responsibilities
Executive Assistance
Work closely with the Director on a daily basis.
Maintain and manage the Director’s diary and calendar.
Organise meetings, appointments and business engagement.
Prepare meeting agendas, timetables and documentation.
Keep clear minutes of meetings and derive clear actions.
Follow up on outstanding actions after meetings.
Make sure the Director is thoroughly briefed for meetings and appointments.
Keep track of deadlines, commitments, and critical dates.
Assist to prioritise the Director’s workload.
Be the communication hub between the Director and internal/external contacts.
Financial & Finance Administration
You will be a vital part in maintaining the financial administration of all four businesses in order.
The role involves:
Helping with financial administration on a day-to-day basis.
Invoices sent and received tracking.
Monitoring of payments and outstanding balances.
Assisting with cash flow monitoring.
Preparing financial information to the Director .
Liaising with accountants and external financial consultants.
Arrange invoices, receipts and supporting documents.
Tracking business costs.
Support for monthly financial statement reporting.
Keep good financial records.
To report any strange transactions, overdue payments or financial concerns to the Director.
Supporting budgeting and forecast procedures.
You don’t need to be an accountant but you should be familiar working with numbers, spreadsheets and financial information and have a good eye for detail.

You will be working across four firms so no two days will necessarily be the same.
You will support the Director with:
To watch the performance and advancement of different enterprises.
Development and management of corporate systems and processes.
Management information and report preparation.
Coordinating between various departments and team members.
Tracking of pending work and projects.
Carry out follow up on staff and contractors if necessary.
Keeping business records.
Helping with recruitment and onboarding.
Back-up for operational meetings
Finding areas where procedure can be enhanced.
Delivering key jobs within the timescales agreed.
Reporting & Meetings
A key part of the work will be ensuring meetings lead to action.
You will:
Participate in selected management meetings with Director.
Keep precise and professional minutes.
Do something.
Make action lists with responsibility and deadlines.
Follow up on action items
Prepare weekly updates for the Director.
Keep business trackers and task lists.
Assist in monitoring important performance metrics.
Relationship & Communication Management
You will be in constant contact with:
Staff Members
The Manager
Contractors
Accountancy Barrister
Vendors
Customers
Property owners
Business associates
Business consultants
Other outside players
You will consequently need to be professional, confident and personable, with strong written and vocal communication abilities.
