We are looking for an experienced forward thinking Facilities Manager to take responsibility for the upkeep, safety, operation and presentation of our serviced apartment portfolio. The selected candidate will ensure all properties are maintained to the highest standards, providing a safe, comfortable and high quality experience for guests, whilst ensuring operational efficiency and compliance with all necessary requirements.

Main Responsibilities

Property & Facilities Management

  • Manage the daily upkeep and operation of serviced units and community facilities.
  • Ensure all flats are clean, safe, fully operable and guest ready at all times.
  • Schedule and control preventative maintenance (PPM) for all building systems and equipment.
  • Coordinate repairs, refurbishment and emergency maintenance works.
  • Conduct frequent audits and property inspections to ensure brand standards.

Contractor & Vendor Administration

  • Manage external contractors, suppliers and service providers including cleaning, HVAC, plumbing, electrical and security services.
  • Get bids and discuss contract terms to ensure cost-effective provision of services.
  • Manage contractor performance and ensure work is accomplished to standards and within timeframes specified.

Housekeeping Operations & Quality Assurance

  • To manage and supervise all housekeeping functions throughout the serviced apartment portfolio ensuring all apartments, communal areas and guest facilities are maintained to the highest levels of cleanliness and presentation.
  • Set, assign and supervise daily, weekly and deep cleaning chores for the housekeeping team, coordinate guest check-outs, arrivals, weekly cleans and special housekeeping requests.
  • Monitor linen and housekeeping inventory. Order linen and supplies as necessary. Maintain proper stock levels to satisfy operational demands.
  • Oversee the housekeeping personnel, including work schedules, performance monitoring, guest housekeeping requests and ensure all cleaning tasks are carried out efficiently and to business standards.
  • Regularly examine the units during weekly cleans and after guest check outs to ensure quality standards are maintained, maintenance issues are identified and corrective actions coordinated if appropriate.

Health, Safety and Compliance

  • Ensure compliance with health and safety legislation, fire rules and business policy.
  • Keep accurate records of statutory inspections, certifications and risk assessments.
  • Make sure that safety equipment is kept in good condition and that emergency response protocols are managed.
  • Conduct frequent health & safety inspections of all properties.

Cost Control & Budgeting

  • Assist in creating and overseeing maintenance and facilities budgets.
  • Monitor spending and find potential for cost savings and operational efficiencies.
  • Maintain inventory of maintenance supplies and equipment.

Guest & Operations Assistance

  • Respond efficiently to maintenance issues raised by guests or operational staff.
  • Coordinate with Front Office, Housekeeping & Operations departments for smooth visitor experiences.
  • Help with setting up apartments, restoration projects, opening of new properties as and when required.
  • You may be needed to work flexible hours including occasional evenings or weekends to meet operational needs or emergencies.
