Job Description

We have an amazing position within the Program Management Office (PMO) at University Hospitals Coventry & Warwickshire NHS Trust for a proactive, highly driven professional with strong project management skills.

The function demands an effective communicator who can communicate with all levels of clinical and non-clinical professionals inside the organization, and external project stakeholders.

You need to have excellent organising skills and the capacity to work to tight deadlines. Also, vital requirements include experience with project management software, tools and processes used to create, develop, manage and monitor project plans.

The main duties of the position

You will work collaboratively with the Trust’s clinical and non-clinical teams and departments to support implementation of strategic objectives as part of the Program Management Office (PMO).

The post holder will give support to the planning and management of small/medium scale projects and support the delivery of strategic programs within the Program Management Office (PMO). You will also help clinical and non clinical professionals to ensure that required activities and targets, identified in project plans are met, including the delivery of benefits.

The post holder will assist in the management of project risks and issues and close monitoring of action plans to ensure they are accurate and up to date at all times and that appropriate documentation and communication takes place throughout the project lifecycle to ensure effective delivery within set timescales.

Job Duties

Support the successful delivery of small/medium projects within an acute hospital environment, balancing conflicting needs, and reducing any potential interruption or inconvenience to patients, staff or other visitors.

Planning, co-ordinating and managing a range of diverse projects or workstreams at any one time. This will include engagement with a variety of important internal and external stakeholders to ensure that the Trust’s demands are effectively satisfied.

Develop and monitor projects using project management tools and templates to ensure proper reporting at all levels.

Work with other members of the PMO team, Strategy, Finance, Workforce, ICT, external suppliers and clinical teams to ensure that projects are effectively delivered.

Provide, receive and understand information for successful delivery of the projects. Identify complicated information and escalate as appropriate.

Document and manage project risks effectively according to organization priorities. Knowledge of mitigation and contingency planning.Support the identification, documenting and monitoring of benefits to ensure projects deliver against stated deliverables.

Plan and facilitate the execution of change. Acknowledge the need to adapt deliverables to accommodate unforeseen events.

Throughout the life cycle of the project, generate and maintain formal project documentation, including the collection of information to support evaluation and/or development of policies and procedures.

Work to tight deadlines in a difficult workplace under pressure. To contribute to management and administration procedures and structures such as management of resources.

Excellent knowledge of software such as Word, Outlook, Excel, Power Point, MS Teams.

Qualifications

Degree level education or similar training and experience

Professional Experience

Critical,

Delivery proven experience of successful project management

Experience in parts of project documentation and administration related to successful project management and communications.

Skilled with Microsoft Outlook, Microsoft Word, Microsoft Excel and Microsoft PowerPoint

Experience working with teams and individuals from both clinical and non-clinical backgrounds to solve project delivery difficulties

Experience in developing and delivering material to explain new methods of working to people with varying levels of project management literacy
